An industrial front office that runs itself.

For Georgia’s powder coating specialists, we wired Method CRM, Zapier, and Claude into one connected operation — and rolled out Claude Team so the crew actually uses it.

The opportunity

A great shop, run from too many places.

The coating work was never the problem. The front office was: quotes, jobs, and customer records living across systems and inboxes, with people re-typing what the shop already knew.

The team was curious about AI but had no adoption path — no connected data for it to stand on, and no one with time to figure out where it fit.

The brief: connect the stack, get the process out of heads, and put AI to work where it earns its keep — without disrupting the floor.

What we recommended

One record, connected tools, a team that uses them.

  1. Decision 01

Make the CRM the single source of truth.

Customers, quotes, and jobs live in Method. Everything else reads from it, so there is one answer to where a job stands.

  2. Decision 02

Connect what the team already uses before adding anything new.

Zapier moves records between systems automatically, so nobody re-types anything. Plumbing first; AI goes on top of connected data.

  3. Decision 03

Treat adoption as part of the build.

A real Claude Team trial, use cases mapped to actual roles, and the front office written down as SOPs — so the crew actually uses it.

What we shipped

One connected stack, with AI on top.

01

Method CRM, live

The shop’s single source of truth for customers, quotes, and jobs — implemented and in production.

02

Zapier integration layer

App connections that move records between systems automatically. Nobody re-types anything.

03

Claude MCP server

Claude connected directly to live CRM data through a custom MCP server — ask about a job, get the real answer.

04

Claude Team rollout

A structured trial for the whole team: accounts, use cases, and the habits that make it stick.

05

SOPs & runbook

The way the front office works, written down — so the system survives vacations and new hires.

06

Integration hygiene

Stale accounts found and cut, connections re-pointed, every automation tested against live records.

How it works

The CRM is the source of truth. Everything reads from it.

When a record changes in Method, the connected apps react — and Claude reads the same live data through the MCP server, so the team can ask plain-language questions about customers, quotes, and jobs and get answers grounded in reality.

Adoption was treated as part of the build, not an afterthought: a real trial run with Claude Team, use cases mapped to actual roles, and the connections debugged against live records until they held.

Status

In production

Method CRM is live as the shop’s single source of truth for customers, quotes, and jobs.

Operations

Nobody re-types anything

Records move between systems automatically, and every automation was tested against live records.

AI enablement

Real answers about real jobs

Claude reads live CRM data through a custom MCP server, and the whole team trialed Claude Team with use cases for their roles.

Selected outputs

Plumbing first. Then intelligence.

We stopped asking where a job stood and started asking what to do next. The system already knows where everything is.
